Executive Assistant to CEO

The Wujal Wujal community is in the Cape York region on the banks of the Bloomfield River and is surrounded by high mountains, waterfalls, river tributaries and creeks. The area’s boundaries are the Cook Shire to the north and Douglas Shire to the south. They are located about 4 hours north of Cairns or 1 hour south of Cooktown by road. Wujal Wujal covers an area of 64 Hectares and the Shire has a tropical climate with both dry and wet seasons.

Located between two UNESCO World Heritage sites, Wujal Wujal is where the rainforest meets the reef – a haven for nature-lovers, photographers, and travellers. Population of the Wujal Wujal Community is approximately 400 people. Wujal Wujal is accessible by road via the coastal road across the Daintree River and by inland road. There is a private airstrip 20km from the Shire and flights in and out of Cooktown.

Tropical Cyclone Jasper caused extreme rainfall in December 2023, resulting in severe flooding across the region. Many homes were completely inundated, forcing residents to evacuate. With the help of the army, Red Cross, and numerous other supporting organisations, Wujal Wujal homes have been repaired and the community has returned home and Council is in the recovery process, repairing and rebuilding Council buildings. Needless to say, this could be incredibly rewarding opportunity and a chance to demonstrate your resilience, tenacity and ability to truly make a difference

Your Role Assisting the CEO and Mayor

You will report to and primarily work for the CEO, providing her with assistance and high-level administrative support as well as to the Mayor ensuring the effective, timely and smooth operation of each role. The incumbent is moving to another role within Council and is happy to provide any support you may require as you settle into what she has described as a ‘fabulous’ position.

Anticipating necessary actions and effectively coordinating and managing varying expectations and daily workflows as well having an adaptive communication style will be essential to success in this role. You will liaise with multiple stakeholders to effectively contribute to Council’s goals, and proactively manage their schedules, prioritising activities based upon importance and impact to the business and coordinating internal requests for time and information to minimise interruptions.

Being a small Council everyone assists where required and as a result your days will never be the same, and your duties will be more varied than you may have experienced in previous roles. One day you may be booking travel and accommodation or reconciling the CEO’s credit card and the next you will reviewing corporate policies or drafting the CEO’s report to council or assisting the team with formatting their reports.

This role also serves as secretariat to Council and as such is responsible for more than just the preparation of the council agenda and minute taking and is responsible for assuring council complies with Local Government legislative requirements, including accurate records management. As a part of this you will also be responsible for the management of the council’s public webpage, ensuring council documents are uploaded in a timely manner.

About You

With previous experience managing Council and/or Board meetings you have a passion to work within a fast-paced, diverse, customer-centred business, and enjoy supporting senior leaders to deliver results in a timely manner. Taking the lead, raising the bar, and pushing to keep things on track you will need to be resilient, tenacious, and confident enough to deal with a range of stakeholders and able to take the initiative to ensure exacting standards are always met in this fast-paced environment.

Most importantly you have a professional and down to earth disposition and enjoy connecting with and getting the best out of others. You consider your superior organisational skills to be one of your key strengths, have an exceptional eye for detail and extensive experience working as an Executive Assistant at the highest level and the confidence to assess and/or provide governance advice when necessary. The ability to show initiative, establish positive relationships and build rapport with staff and external parties at all levels will be underpinned by your discretion and confidentiality. Understandably you will be renowned for your research skills, accurate minute taking and proficient use of Microsoft Office programs as well as your passion for records management

You will value honesty and integrity and apply these to everything you do and will not mind interruptions to assist team members with their needs. Previous experience working with Indigenous Councils and/or organisations will be highly regarded.

A salary of up to $85K + Super + 5 weeks leave with 17.5% loading will be negotiated dependent upon experience. Fully furnished accommodation will also be provided to the successful applicant, and you will work a 4.5 day week.
